Job Description
The HR Trainee provides administrative and operational support to the Human Resources team across key functions, including employee engagement, recruitment, payroll, employee records management, and office administration. This role offers hands-on experience in HR processes and contributes to ensuring efficient and organized HR operations.
Main Tasks
Employee Engagement & Internal Communication
Assist in planning, coordinating, and executing employee engagement initiatives and activities.
Provide administrative and logistical support for visiting executives, clients, and partners, as required.
Support internal communication activities (e.g., coordination, documentation, and distribution of materials) as assigned by the HR team.
Recruitment & Onboarding
Coordinate interview scheduling and communicate details to candidates and interviewers.
Monitor completion of pre-employment requirements and follow up on outstanding items.
Prepare, compile, and file onboarding documentation to ensure completeness of new-hire requirements.
HR Data Maintenance & Documentation
Maintain employee 201 files and ensure completeness, proper filing, and confidentiality of records.
Perform HRIS updates and employee data clean-up activities; validate entries for accuracy and consistency.
Support preparation of HR documentation and simple trackers/reports as requested by the HR team.
Payroll & Statutory Compliance Support
Assist in processing and updating employee records for government statutory requirements (e.g., SSS, PhilHealth, Pag-IBIG) and maintain supporting documentation.
Support preparation, tracking, and submission of required statutory reports and forms, as assigned.
Provide administrative support for payroll-related documentation and employee data validation, as required by the HR team.
HR Administration & Employee Lifecycle (Offboarding)
Assist in processing employee clearances and offboarding documentation for resigning or terminated employees.
Coordinate exit requirements, track completion of required sign-offs, and file final documents in employee records.
Facilities, Office Administration & General Services
Coordinate office maintenance and repairs; monitor and escalate facility issues (e.g., fire safety, electrical, mechanical) to the HR team for action.
Coordinate with vendors, building administration, and maintenance personnel for office-related concerns and service requests.
Support inventory management and procurement of office and pantry supplies; maintain basic monitoring records, as assigned.
Administration, Expenses & Vendor Coordination
Assist in monitoring the HR revolving fund and tracking office-related expenses (e.g., supplies, utilities, vendor payments), as assigned.
Assist in tracking, validating, and routing office-related billings for processing and payment.
Coordinate with housekeeping personnel and monitor service-related activities, as required.

Minimum Qualifications
Bachelor’s degree
Open to fresh graduates; prior work experience is not required.
Demonstrates the ability to handle sensitive information with a high level of confidentiality and professionalism
Possesses strong interpersonal skills and works effectively in a collaborative team environment
Exhibits solid organizational, time management, and administrative skills
Shows strong attention to detail and accuracy in all tasks
Knowledge in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
